What is The GDPR?

The General Data Protection Regulation (or GDPR) is a new EU regulation that aims to provide a single set of rules to strengthen data protection and privacy for EU residents.

Taking effect from May 25th 2018, it imposes a wide range of new regulations on organisations that collect or process the personal data of EU residents. It also imposes significant penalties for violation or non-compliance.

Only 25% of customer data is estimated to be GDPR compliant.

Compliance Managers are worried about meeting the new obligations around the right to be forgotten, and the potential influx of data subject access requests.

Sales and marketing teams are unsure what data they will be able to continue using after May 25th, 2018 but rely on it for everything from e-mail marketing to website optimisation and lead scoring.

Some are just ignoring the issues hoping that come May, nothing will change and it will be business as usual.

Some assume that they automatically have to re-consent their whole database to continue their marketing activity.

Most aren’t sure where to start or what to believe but are worried about the approaching deadline.

How we can help with your GDPR compliance through Microsoft Dynamics CRM

Handling Right To Be Forgotten Requests

We work with your Data Protection Officer and team to:

  • Create automated workflows that remove the name, email, phone number, and address information from lead and contact records in CRM.
  • Create automated workflows that handle the right to be forgotten within CRM opportunities and email communications.
  • Ensure that right to be forgotten workflows take account of other required data retention periods for KYC and accounting purposes.

Subject Access Requests

We work with your Data Protection Officer and team to:

  • Develop automated reports to handle data from your CRM system that forms part of subject access requests.

Tracking & Managing Consent

We work with your Data Protection Officer and team to:

  • Develop consent records for leads and contacts in your CRM system showing a list of consent events against each lead and contact. These records may include a required field each time a lead or contact is added indicating the type of consent e.g. "Implicit Consent: Request for Quote".
  • Design and development of consent forms in CRM.
  • Integration of consent records with marketing forms and Dynamics CRM through Click Dimensions.

Data Hygiene & Retention

We work with your Data Protection Officer and team to:

  • Design automated workflows to handle retention periods for data held in CRM taking into account applicable legislation and the type of data.
  • Integrate lifecycle fields into CRM lead and contact records. These identify the purpose of the record (e.g. sales has created an opportunity). This information can feed into your retention workflows.

You're in good company

Major brands choose our experience to help them overcome their most difficult compliance and technology challenges.

We were left in a situation where we had to meet a tight deadline with very serious penalties for non-compliance. XRM Architects stepped in at very short notice, with little knowledge of the project, and took complete control of the situation. They worked tirelessly to extract and deliver the data to the regulators and went the extra mile to ensure that everything was completed in time.
